Terms of registration

These terms apply when you reserve or buy a pass for the GAISB AI World Summit 2027 at the Hyatt Regency Trinidad, Port of Spain, Trinidad and Tobago (April 29 – May 1, 2027), or for GAISB Certification Week (April 26 – 29, 2027). They form a binding agreement, so please read them. By reserving or buying a pass you confirm that you have read and accept them. If you register on behalf of other people or an organization, you confirm that you have authority to accept these terms for them and that you will make sure each attendee follows them.
In short
- Your agreement is with AFSV VRC Global Development Group Ltd., the organizer. GAISB convenes the summit and collects payments on AFSV’s behalf.
- Refunds: within 14 days of payment, on a documented visa refusal, or if we cancel or reschedule. Otherwise passes are non-refundable, but you can transfer yours free with our approval.
- The program may change, so it reflects what is most relevant in the industry when the summit opens.
- The summit is photographed and filmed. Closed-door sessions are not.
- Nothing at the summit is investment advice, and our liability is limited to what you paid, as far as the law allows.

1. Who you are dealing with
The organizer. Your agreement is with AFSV VRC Global Development Group Ltd., 36 Jays Drive, Whitby, Ontario L1R 2P6, Canada (“AFSV” or “the organizer”). AFSV is the summit’s local partner and is responsible for delivering it.
GAISB. The summit is convened by the Global AI Standards Body, based in the United States (“GAISB”). GAISB runs gaisb.ai, collects registration payments as AFSV’s payment agent (section 4), and provides the GAISB AI Club access and GAISB certification credentials described in sections 8 and 9.
In these terms, “we”, “us” and “our” mean AFSV, and also GAISB where a section concerns payment collection, the GAISB AI Club or GAISB certification. “You” means the person named on the pass and, where different, the person or organization that bought it. The venue, the Hyatt Regency Trinidad, is not a party to this agreement.
2. Registration
- Give accurate, complete details and keep them up to date. Attendees must be 18 or older unless we agree otherwise in writing.
- A registration is confirmed only when we have received payment in full and sent you a confirmation by email. We may decline any registration before we confirm it, in which case anything you paid is refunded in full.
- A pass is personal to the named attendee and admits one person. Badges must not be shared, and you may be asked for photo ID matching your registration to collect yours.
- Group rates are available for groups of 10 or more by email to summit@gaisb.ai. The person who books a group is responsible for paying for it and for making sure every attendee accepts these terms.
- We may cancel a confirmed registration if you gave false information, if you breach these terms or the code of conduct, or as set out in section 15. Unless the cancellation follows a breach by you, or the law prevents it, we refund what you paid in full.
- The summit is a professional event and most passes are bought for business purposes. If you register as a consumer, you also have the rights consumer protection law gives you, and nothing in these terms limits rights that cannot be limited by law.
3. Passes, prices and reservations
- Prices are in United States dollars. Any applicable taxes are shown at checkout, before you pay.
- Early registration rates apply until 11:59 pm Atlantic Standard Time on November 30, 2026, or until early-registration places are taken, whichever comes first. After that, standard rates apply.
- If you reserved a pass before checkout opened, nothing was charged. The rate shown when you reserved is held if you complete checkout within 14 days of the date we send you your checkout link. A reservation is not a confirmed registration until it is paid.
- What each pass includes is described on the registration page when you buy it, subject to section 7.
- If a price is plainly wrong because of an error, we may cancel the registration and refund what you paid in full.
- Discount codes cannot be combined unless we say so, have no cash value and may be withdrawn at any time before use.
- Seats at The Sovereign Table, sponsorship, exhibition and speaking are arranged under separate written agreements, which govern in place of these terms where they differ. Sponsorship and exhibition are contracted and invoiced directly by AFSV.
4. Payment
- Payment is by card through Stripe, in United States dollars.
- GAISB collects registration payments as AFSV’s limited payment collection agent. A payment made to GAISB counts as payment to AFSV and fully settles what you owe for that pass.
- Card details are processed by Stripe under its own terms and are never seen or stored by GAISB or AFSV.
- Any foreign exchange, bank or card fees charged by your card issuer are your responsibility.
- If you believe a charge is wrong, contact us first and we will look into it promptly. If a payment is disputed or reversed, we may suspend the pass while the dispute is open and cancel it if the payment is reversed. Nothing here limits your rights under your card agreement or the law.
5. Transfers
With our prior written approval, any pass may be transferred to another named attendee at no charge, up to the start of the summit. Email summit@gaisb.ai with the original and the new attendee’s details. The new attendee must accept these terms. A transfer does not restart the refund period, which runs from the original payment.
Passes may not be resold, auctioned, offered as prizes or used in any promotion without our written consent. A pass obtained or used in breach of this section may be cancelled without refund.
6. Cancellations and refunds
All refund requests go in writing to summit@gaisb.ai. There are three ways to a refund, and no others:
- Within 14 days of payment: refunded in full, no fee, no questions, provided you ask before the summit begins (for a certification pass, before your certification begins).
- Visa refusal: if you are refused a visa to enter Trinidad and Tobago, we refund in full on proof of the refusal, provided you submitted the visa application at least 60 days before the summit and you ask within 30 days of the refusal.
- If we cancel or reschedule: if we cancel the summit, every pass is refunded in full. If we move it to new dates, your pass is valid for the new dates; if you cannot attend them, tell us within 30 days of our announcement and we will refund you in full.
Outside those three cases, passes are non-refundable, but never worthless: any pass transfers free to another named attendee, with our approval, right up to the start of the summit (section 5). There are no refunds for not attending, for attending in part, for removal under section 10, or for changes to the program under section 7.
Refunds return the amount you actually paid, in United States dollars, to the original payment method, within 15 days of our approving the request. Refunds cover the pass only. Travel, accommodation and visa costs are your own risk, and we strongly recommend travel insurance that includes cancellation cover.
7. Changes to the program
The program is subject to change. The organizer may change the tracks, the agenda, sessions, formats, speakers, timings and rooms, before or during the summit, so that the program reflects what is most relevant in the industry when the summit takes place. Announced speakers are confirmed in good faith, but appearances can change for reasons beyond our control. Changes to the program, including a change of speaker, are not grounds for a refund.
- We may move the summit to another venue of comparable standard in Trinidad and Tobago. If we do, your pass remains valid and the move is not a cancellation.
- Rooms have limited capacity. Entry to individual sessions is first come, first served, except reserved seating that is part of your pass.
- If something included in your pass can no longer be provided, we will offer a reasonable alternative where we can.
8. Recordings and the GAISB AI Club
- Recordings. Full Access and Executive passes include access to recordings of the sessions on both stages, for your personal, non-commercial use, for as long as we make them available. Closed-door sessions are not recorded, and a speaker may ask for a session not to be. Technical problems can affect what is captured.
- GAISB AI Club. Every summit pass includes access to the GAISB AI Club, provided by GAISB: 30 days with Main Stage, 60 days with Full Access and six months with Executive, running from the date GAISB activates your access. Access is personal to you and subject to any terms GAISB sets for the Club.
- Materials. Slides, recordings and other materials are for your own use. You may not copy, share, sell or publish them without written permission.
9. Certification Week
- Certification passes are sold separately from summit passes. These terms apply to them, reading “the summit” as the start of your certification where the context requires.
- GAISB sets each certification’s requirements and issues the credential on successful completion. Paying for or attending a certification does not guarantee a credential.
- Check the prerequisites and preparation for your certification before you attend. GAISB may withhold or withdraw a credential obtained through misconduct, including cheating or misrepresentation.
10. Admission, conduct and safety
- Attendance is subject to the code of conduct, the venue’s rules and the reasonable instructions of our staff and security.
- We may refuse entry to, or remove without refund, anyone who breaches these terms, the code of conduct or the venue’s rules, or whose behavior puts other people at risk.
- Bags may be checked on entry, and items that are unsafe or not allowed by the venue may be refused.
- Follow the public health requirements of Trinidad and Tobago in force at the time. If you have a contagious illness, please do not attend; a transfer under section 5 remains open to you.
- You are responsible for your belongings. We are not liable for their loss, theft or damage unless it is caused by our negligence.
- If you have accessibility needs, tell us in advance at summit@gaisb.ai and we will make reasonable efforts to meet them.
11. Photography and recording
The summit is photographed, filmed and recorded. By attending, you agree that GAISB, AFSV and the people working for them may capture your image, voice and likeness, including any question or comment you make from the floor, and use them in any media to document, report on and promote the summit and future GAISB events, without payment to you. If you would rather not appear in close-up images, tell a member of staff or email summit@gaisb.ai and we will take reasonable steps to avoid it. To ask for a specific published image to be taken down, email the same address.
Closed-door sessions, including Council 50, The Money Room and the ministerial roundtable, are not photographed, filmed or recorded, and are held under the Chatham House Rule.
Personal photographs are welcome. You may not record, transcribe or stream sessions, including with AI note-taking tools, without our written permission, and you may never record any part of a closed-door session.
12. The GAISB name and content
The GAISB and GAISB AI World Summit names, logos, materials and recordings belong to GAISB or its licensors. You may say that you are attending or attended the summit, but you may not use the GAISB name or logos in a way that suggests GAISB’s endorsement or partnership without written permission. Content presented by speakers, sponsors and exhibitors belongs to them.
13. Information, not advice
Sessions, materials and conversations at the summit are for information and education. Nothing presented is investment, financial, legal, tax or other professional advice. Speakers, sponsors, exhibitors, G-10 companies and attendees speak for themselves, and GAISB and AFSV do not endorse any company, product, token, security or investment presented at the summit. Make your own decisions and take independent advice.
You must not use the summit to offer, sell or solicit investment in securities, tokens, digital assets or other financial products, except in full compliance with the laws that apply to you and to the people you approach.
14. Sponsors, exhibitors and your details
We handle your personal information as described in the privacy policy. If you choose to share your details with a sponsor or exhibitor, for example by letting them scan your badge, they receive those details and use them under their own privacy policy. You may not use the summit, or contact details you obtain there, to send bulk unsolicited messages.
15. Public officials and compliance
- If you are a public official, you are responsible for making sure that your attendance, and anything provided to you in connection with the summit, including any complimentary pass or hospitality, complies with the rules of your government or organization. We will give you information about the value of what is provided on request.
- We may refuse or cancel a registration where accepting it would breach sanctions, export control, anti-money-laundering, anti-corruption or other laws that apply to GAISB or AFSV. Where the law allows, we refund what was paid.
16. Travel, visas and accommodation
You are responsible for your own travel, accommodation, passport, visa, health requirements and insurance. We can provide an invitation letter for a visa application on request, but it does not guarantee a visa. Arrangements you make with airlines, hotels and other providers are between you and them, and we are not responsible for their services, including any we recommend.
17. Liability
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud, or any other liability that cannot be limited or excluded by law, including your rights as a consumer.
Subject to that, and to the fullest extent the law allows:
- GAISB and AFSV are not liable for any indirect or consequential loss, for loss of profit, revenue, business, opportunity, goodwill or data, or for travel, accommodation, visa or other costs you incur; and
- the total liability of GAISB and AFSV together, in connection with your registration and the summit, is limited to the amount you paid for your pass.
GAISB, AFSV, their affiliates, and their directors, officers, employees, agents and contractors, and the venue, may each rely on this section as if they were a party to these terms. You are responsible for any loss or damage you cause to the venue, other attendees, GAISB or AFSV through a breach of these terms or your own negligence.
18. Events beyond our control
Neither we nor you are liable for a failure or delay caused by events beyond reasonable control, including natural disasters, severe weather, epidemics, government action or travel restrictions, civil unrest, terrorism or the threat of it, industrial action, closure of the venue, or failure of utilities or transport. If such an event leads us to cancel or reschedule the summit, section 6 applies. This section does not create any right to a refund beyond section 6.
19. Changes to these terms
We may update these terms. The version in force when you paid applies to your registration, except for changes required by law and changes that do not reduce your rights. The version number and date at the top of this page show the current version.
20. Law and disputes
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable there. If you have a complaint, contact us first at summit@gaisb.ai; most problems are solved quickly that way, and we will try to resolve yours within 30 days. If we cannot, the courts of Ontario have exclusive jurisdiction, except where consumer protection law gives you the right to bring proceedings elsewhere.
21. General
- These terms, your confirmation, the code of conduct and the privacy policy are the whole agreement between us about your registration. A separate written agreement signed by AFSV prevails for the matters it covers.
- If any part of these terms is found unenforceable, the rest remains in force.
- If we do not enforce a right straight away, we can still enforce it later.
- We may transfer our rights and obligations under these terms to another company that takes over responsibility for the summit. You may transfer your pass only under section 5.
- We will contact you at the email address you registered with. Notices to us go to summit@gaisb.ai.
- These terms are written in English, and the English version prevails over any translation.
- Sections 8, 11, 12, 13, 17, 20 and 21 continue to apply after the summit.
